An attendance certificate for examination duty is an official document that records that a staff member was deputed to serve at an examination centre during a specified period. It is issued by the working (home) college and is required for claiming examination duty allowances, leave regularisation, and maintaining official duty records with the board or university.
Any teaching or non-teaching staff member who was deputed for examination duty at a college other than their home institution should fill this form. This includes Junior Lecturers, Partime Lecturers, Guest Lecturers, PGTs, Principals, Librarians, Physical Directors, and all staff appointed as Examiner, Invigilator, Chief Superintendent, ACO, Scrutinizer, Custodian, or any other examination role.
The Working College Code is the 5–6 digit identifier of the institution where the employee is permanently posted — their home college. The Examination College Code is the code for the institution where they were deputed to perform examination duty (the exam centre).
Both codes are from the college master database. The Working College Code is validated automatically after entry — the matched college name appears in green on success, or an error message appears in red if the code is not found.
The Subject field appears automatically when the selected designation is one of: Junior Lecturer, Partime Junior Lecturer, MTS Junior Lecturer, Guest Junior Lecturer, Contract Junior Lecturer, or PGT. For Principals, Librarians, Physical Directors, and other roles the subject field is hidden as it is not applicable to their designation.
Selecting Other reveals a free-text Custom Designation field where you can type any designation not listed in the standard dropdown — for example, a special contractual, deputation-based, or honorary post. The text is automatically converted to uppercase to match the formatting of official certificate documents.
Click the From Date or To Date field to open a calendar. Use the month and year dropdown selectors at the top of the calendar to navigate quickly. The selectable range is restricted to 12 months before and after today. Typing directly into the date fields is disabled to ensure the correct DD/MM/YYYY format is always used and no invalid dates are submitted.
After typing at least 4 characters in the Working College Code or Examination College Code field, the system queries the college database and shows a dropdown of matching college names. Clicking a suggestion fills the field automatically.
For the Working College Code, an additional on-blur validation runs when you click away from the field — the matched college name is shown in green, or an error message in red if the code is not found in the database.
The available roles are: Examiner, Chief Superintendent, Departmental Officer, Assistant Examiner, Practical Examiner, Chief Examiner, ACO-I, ACO, Scrutinizer, Invigilator, Custodian I, and Custodian II. Select the role that exactly matches the official deputation order issued to the employee for the duty period to ensure the certificate is accepted by the board or university.
Yes. Submitted certificates can be retrieved from the certificate records list. Open the relevant record, make your corrections, and re-submit. The system updates the certificate document accordingly. Ensure all changes match the original deputation order before re-generating the certificate.
