Everything you need to know about generating a relieving order for examination duty
A relieving order is an official document confirming that an employee has been relieved from their examination duty at the examination centre on a specific date. It records the employee, subject, working college, examination college, designation, and relieved date — and serves as proof of completion of duty for records, allowance claims, and rejoining the home institution.
Any staff member deputed for examination duty — such as an Examiner, Chief Superintendent, Departmental Officer, Assistant Examiner, Practical Examiner, Chief Examiner, ACO, Scrutinizer, Invigilator, or Custodian — needs a relieving order to formally record the end of their duty and enable rejoining their home college.
The Working College Code identifies the employee's home institution where they are permanently posted. The Examination College Code identifies the examination centre where they were deputed for duty. Both are entered from the college master database, and the Working College Code is validated automatically on blur.
After typing at least 4 characters in either college code field, the system queries the college database and shows matching college names as suggestions. Selecting a suggestion fills the field. After you leave the Working College Code field, the code is validated and the matched college name is shown in green, or an error message in red if the code is not found.
The available designations are: Examiner, Chief Superintendent, Departmental Officer, Assistant Examiner, Practical Examiner, Chief Examiner, ACO-I, ACO, Scrutinizer, Invigilator, Custodian I, and Custodian II. Select the designation that matches the official deputation for the duty.
Click the Relieved Date field to open a calendar with month and year dropdown navigation. The selectable range is restricted to 12 months before and after today. Typing is disabled to ensure the correct DD/MM/YYYY format. The relieved date is the date the employee's examination duty ended.
The Subject field records the subject the employee teaches or examines (for example Physics or Mathematics). It is most relevant for teaching and examiner roles. Enter it in capitals for consistency with the official document formatting.
Yes. Submitted relieving orders can be retrieved from the records list, edited, and re-submitted. Open the relevant record, correct the details, and save to update the order document.
A relieving order marks the specific date an employee was relieved from examination duty so they can rejoin their home college. An attendance certificate records the full period of duty served at the examination centre. Both are official examination duty documents but serve different purposes in the process.
