Frequently Asked Questions

Everything you need to know about generating a stationary transportation certificate

A stationary transportation certificate is an official document that records the cost and details of transporting examination stationery and confidential material — such as question papers and answer booklets — between the college and the examination or distribution centre. It is used to claim reimbursement of the transportation charges incurred.

As soon as you type the transportation amount in figures, the tool converts it into words using the Indian numbering system (Crore, Lakh, Thousand, Hundred) and displays it below the amount field. For example, 4750 becomes “Four Thousand Seven Hundred and Fifty Rupees”. This wording is saved and printed on the certificate to prevent tampering.

Enter either the name of the transport agency or courier that carried the stationery, or the registration number of the vehicle used (for example TS09AB1234). This identifies the carrier on the certificate for audit purposes. The text is automatically converted to uppercase.

The From Date and To Date mark the period during which the stationery transport took place. The Letter Submitting Date is the date on which the claim letter is being submitted for reimbursement. All three are selected using the calendar picker.

The date pickers are limited to 1 month in the past and 3 months in the future. This reflects the practical window in which transportation claims are made and submitted, and prevents accidental selection of dates far outside the examination period.

The field accepts numeric input. Whole rupee amounts are recommended for transportation claims, and the amount-in-words conversion handles both rupees and paise if a decimal value is entered. Non-numeric characters are blocked automatically.

Type the College Code in the code field — after 4 characters an autocomplete list of matching colleges appears. When you leave (blur) the field, the system validates the code and auto-fills the College Name in green, or shows an error in red if the code is not found in the database.

Submitting the form generates a formatted certificate containing the college details, transportation amount in figures and words, transporter or vehicle number, and the transport and submission dates. It is ready to print, sign, and submit for reimbursement of the stationery transport charges.
